Invited to a workspace
This page is written for the person on the other end of an invite — an admin has added you to their crew roster and sent you a link to join. It’s a walk through that link from the moment you open it.
The invite link
The email holds a link shaped like /invite/pilot/<token>. It’s single-use and
expires 7 days after it’s sent. If it’s gone stale by the time you open it, ask
whoever invited you to send a fresh one — nothing about a stale link can be recovered
from your side.
Opening it
What you see first depends on whether you’re signed in anywhere on this browser.
Signed out: the page leads with the organization’s name — “[Organization] invited you to join their crew” — and offers exactly one primary action:
- If the email the invite was sent to already has a Tobren Operations account, you’re offered Sign in to accept. Use that same email and your existing password, or Google/Apple sign-in if that’s how you originally signed up.
- If it doesn’t have an account yet, you’re offered Create your account instead. It takes a minute, and you land on the roster as soon as it’s done.
Either way, the page names the address the invite was sent to, so you’re not guessing which one to use.
Signed in: accepting happens automatically — you don’t click anything else. You’re taken straight to a confirmation, then into the workspace, where you can see your flights, currency status, and assignments.
If you’re signed in as the wrong account
If you open the link while signed in as an account other than the one the invite was sent to, you’re told plainly: this invitation is for a different account, and which one you’re currently signed in as. The invitation itself is unaffected — nothing about it is used up by opening the link on the wrong account.
You’re offered a single action to fix it: sign out and sign in as the invited address. That signs you out, sends you to sign in, and brings you straight back to this same invite afterward, so there’s no need to remember the link or re-find the email.
Once you’re in
Accepting doesn’t create a new account on top of an existing one — it links the account you signed in with to the pilot record the admin already created for you on their roster. You’re on the roster from the moment the invite was sent; accepting is what connects it to your own login.
If this is the first time you’ve signed in with an email and password, you’ll be walked through setting up two-factor authentication before you can go further — see Account & security for what that looks like and how to get back in if you ever lose your second factor.
