Suspended workspaces

A suspended workspace is read-only. Everyone can still sign in, look at everything and export it, but nothing new can be saved. It is where an organization lands when it stops paying; it is never silently moved to the Free plan. Nothing is deleted when a workspace is suspended.

Three situations end in suspension:

  • A trial ended with no card on file. The workspace keeps working fully for 3 more days, then is suspended. See Plans & billing.
  • A renewal payment failed and stayed unpaid. Everything keeps working for a 7-day grace period, then the workspace is suspended.
  • A cancellation reached its end date. There is no extra grace: you chose the date.

During the 3-day and 7-day windows every member sees a reminder when they open the app. It names the organization, counts down the time left, can be dismissed, and comes back on the next app open. The About screen (web and mobile) also carries a marker with the time left, which leads to the plan choice.

A suspended workspace shows a Read-only screen titled “Organization is read-only”, and a change that can’t be saved is refused with “Your organization’s subscription is suspended, so changes can’t be saved. Everything is still here to view and export.” View your records (read-only) takes you back to the data.

Not allowed while suspended: new flight logs, schedule changes, events, adding crew, aircraft or documents, and other writes. Still allowed: signing in, reading everything, exporting your data (see Privacy & your data), and archiving or removing records.

Only the Account owner can fix it. On the read-only screen, or in Settings → Billing, the owner has two options:

  • Choose a plan. The Update card and pay button on the Billing screen’s suspended banner: paying starts a new period today and the workspace picks up exactly where it left off.
  • Switch to Free. Allowed only if the organization fits within Free’s limits (1 crew member, 2 aircraft, 1 GB). If it doesn’t, the screen says what to archive first.

Admins and members see “Tell your organization owner” instead of the buttons.

After 90 days suspended, Tobren files a request to delete the workspace. It goes into the same queue as an owner’s own request: a Tobren staff member reviews it, and after approval there is a 7-day window before erasure in which the owner can cancel. Nothing is erased automatically. The owner is emailed at suspension and again 30 days and 7 days before the 90 days are up (see Emails you receive). Choosing a plan or switching to Free ends the countdown.

What an erasure removes and keeps is on Privacy & your data.

If the app can’t confirm your subscription (for example you are offline), the screen says “We couldn’t check your subscription” or “That change wasn’t saved”, asks you to check your connection, and states that nothing has been deleted.
