Documents

The document library is one place for the paperwork an audit asks for: insurance certificates, Part 107 certificates, medicals, training records, waivers, registrations and manuals. Find it under Documents in the nav.

Uploading a document

Upload a PDF, JPEG, PNG or WebP, up to 50 MB per file, and give it:

  • A display name.
  • A document type — Insurance, Part 107 Certificate, Medical, Training Certificate, Waiver / Authorization, Registration, Manual, or Other.
  • An optional expiry date.

The type is what the document is, recorded separately from what it’s attached to — so the product can answer “which crew are missing a current medical” rather than guessing from a filename. When you upload from a crew member’s page the type pre-selects to something crew-shaped, and you can always change it before saving.

Other is a deliberate backstop, not a failure: a document that genuinely doesn’t fit a category is better filed honestly as Other than mis-typed.

What a document attaches to

A document is attached to a record, and one document can be linked to more than one:

  • an aircraft
  • a crew member
  • your organization
  • a maintenance log — the receipt or sign-off for a service event
  • a client
  • a flight log

You can upload straight from the record — an aircraft’s Documents tab, a crew member’s Documents tab, the receipt field on a maintenance service entry — or from the library itself.

Expiry tracking

A document with an expiry date carries a status: OK, Expiring soon (within 30 days), or Expired. The library shows how long is left at a glance, and expiring or expired documents raise alerts — insurance gets its own alert type, everything else raises a document-expiry alert.

This is the part that earns the library its keep: nobody discovers a lapsed insurance certificate on the morning of the job.

Finding a document

The library lists every document in the workspace with filters for:

  • What it’s attached to — aircraft, crew member, organization, maintenance log, client, or flight log.
  • Document type.
  • Expiry status — expired, expiring soon, or OK.
  • Search by name.

Sort by newest first, name A–Z, or expires soonest — the last one is the useful view before an audit.

Storage

Uploads count against your plan’s storage allowance. Uploading the identical file twice doesn’t consume it twice.

Editing a document’s name, type or expiry date, deleting a document, and unlinking one from a record all require at least a Member role.
