Jobs

A job is one piece of paid work: the shoot, the survey, the inspection a client hired you for. It’s the record everything else hangs off — the quote that won it, the flights that delivered it, the invoice that closed it.

Find it under Jobs in the nav.

Jobs is part of the Commercial module, along with Clients, Quotes/Invoices and Analytics. Turn it off in Settings → Modules if you don’t bill for your flying — nothing is deleted, and turning it back on restores everything.

The job lifecycle

Completed and Cancelled are final. A job that’s finished doesn’t reopen, even with an override.

Active happens to you, not by you

You never set a job to Active yourself. It flips there on its own the moment real work happens against it: an event starts, or a flight log is filed against the job. The status follows what your operation actually did, so a busy day doesn’t leave a row of jobs stuck in “Ready to schedule” while the aircraft are in the air.

Completing a job is suggested, then confirmed

Tobren Operations proposes completion when every live invoice on the job is paid — then you confirm it with Mark complete. It won’t suggest completion while an invoice is still in draft, still outstanding, or when the job has no invoices at all.

If you need to close a job that never went active — billed but never flown, say — Complete anyway is the override. Nothing traps you; the automation only ever suggests.

Working a job

The job detail page is the job’s home. In one place it shows:

  • the client,
  • its quotes and invoices, each with its own status,
  • the events and scheduled flights attached to it,
  • the flight logs filed against it,
  • derived totals.

Schedule this job takes you to the schedule board with the job already linked, so the flight you create is attached to the right work without picking it out of a list.

You can also attach and detach individual scheduled flights from the job directly.

A job picker appears wherever the work needs attributing — scheduling a flight, logging one, creating an event, writing a quote or an invoice — so the link is made as you go rather than reconstructed later.

The ready-to-schedule queue

Jobs marked Ready to schedule form a queue above the schedule board, oldest first — the work that’s been waiting longest sits at the top. When the queue is empty it renders nothing at all rather than a permanent empty panel.

Jobs and events

An event — the container for a multi-aircraft show — can be linked to a job. When that event starts, the job goes Active automatically.

Editing and permissions

Creating a job, editing it, moving its status, and attaching flights all require at least a Member role. Editing a job’s details never changes its status; that’s always its own explicit action.

Jobs can’t be deleted — an invoice or quote referencing one would be left dangling. Cancel it instead.
